Westfield Waves Swim Team

Westfield takes pride in enjoying a reputation for running some of the most efficient meets in the league. We are only able to do this with an amazing parent volunteer program.

We ask that each family authorize WePay for their volunteer deposit of $200 at the time of registration. This money will only be charged to your credit card at the end of the season if you do not fulfill your volunteer responsibilities for the season.

Families with 1 swimmer must volunteer 2 times and families with 2 or more swimmers must volunteer 3 times to meet this obligation and have your deposit returned. If you have a swimmer in one of our home meets you are required to volunteer for that meet unless prior arrangements have been made. (For example- if you volunteer to officiate for an away meet- you would not be required to volunteer at all home meets).

If you have signed up to volunteer and are not able to make it, you will need to find someone to cover for you or you will need to reach out to a team board member prior to the meet.

Swim Meet Volunteer Positions

Most positions have 2 shifts available during each meet. Some positions are combined with others.

Computer Assistant: Assist the Computer System Administrator to learn to run the timing and start system, print out heat sheets for Clerks, Timers and Coaches at beginning of a meet, and print out results sheets to post and labels for ribbons.

Ribbons: Volunteers will receive heat winner label sheets from the Runners. Labels need to be placed on ribbons and organized in folder for Westfield by end of the Meet. Also responsible for organizing guest team ribbons and handing off to other team coach(s) by the end of the Meet. Volunteers will sit at designated table by the kiddie pool.

Clerk of Course: Checks in all swimmers to the heating and seating area. Works with Heaters/Seaters to organize swimmers into proper heats and lanes for all relays and individual events.

Concessions Worker: Works with the Head of Concessions during home meets to sell concessions. Helps set up and tear-down of the concession area.

First Call-Last Call Sign Flipper: Communicate with Heater/Seaters and Clerk of Course in order to keep First Call-Last Call Signs updated.

Heaters/Seaters: Works with the Clerk of Course to organize swimmers into proper heats and lanes for all relays and individual events. Assists in moving young relays to the opposite end of the pool.

Custodian: The custodian refills toilet paper, paper towels and hand soap in restrooms, empties full trash bags and removes them to the dumpster, and works with the runner to provide water and relief to other volunteers as needed.

Meet Tear-Down: Helps put away all equipment used during the meet, empties trashcans and restores the pool area to its original condition. Lifting and carrying is involved.

Meet Set-Up: Helps set up the pool for a meet. This includes installing lane lines, setting up chairs and safety netting for the heating area, and setting up tents around the pool. Lifting and carrying is involved.

Runner: Volunteer "runs" between the official and computer team to report any disqualifications. Responsible for posting results and getting heat sheet winner labels to the Ribbons table.

Timers: Using a wireless stopwatch provided by the team, timers will stop the watch when any part of the swimmer touches the wall at the end of each event/heat. Two timers will be stationed at each lane.
